I LOVE OnceHub!

Normally I don’t rhapsodize about an app but ScheduleOnce by OnceHub is truly worth it. In short, it’s a scheduling app. But that’s like saying Google is just search software.

Several years ago we were consistently frustrated trying to schedule meetings with prospects and clients because of the time and repeated communications trying to nail down a time that was convenient to both parties. Multiple calls and/or emails back and forth - Them: “Can you meet with me sometime next week?” Us: “Sure, how about Tuesday afternoon at 1pm? If that’s not good, give me some dates and times that work for you.” Them: “No I’m busy on Tuesday. Can you do Wednesday or Thursday?” And so on, and so on. You get the picture. Heck, you’ve probably been there yourself.

Time for a new solution! We found ScheduleOnce when it was relatively new to the game and realized it had the potential to streamline the whole meeting process for us.

Now that we’ve used ScheduleOnce exclusively for several years, I can honestly say I’m in love. It’s a smart, sophisticated, flexible, integrated scheduling app that handles so much for us. I’d like to share the features we love that impact our daily business and time management the most.

  • Clients and prospects can independently schedule a call or Zoom meeting with us. Key word: independently. They click a link and have options to set their meeting on a date and time that’s convenient for them on our calendar.
    • Feature: ScheduleOnce integrates with our multiple Mac calendars (and also Infusionsoft By Keap’s calendar). We have the flexibility to tell ScheduleOnce which calendars to look at and what days/times on those calendars we are available.
    • Feature: We can override any particular date/time. For example, we configured ScheduleOnce that our business hours are 9am to 5pm Monday through Friday. Then we decided we will be out of the office on Thursday November 26 for U.S. Thanksgiving Day and that’s a quick click-click in ScheduleOnce to block off that particular day.
  • We set up a Group of appointment types so that a client can easily choose a phone call or Zoom meeting in one screen.
    • Feature: ScheduleOnce allows us to group appointment types to give us and our clients more control at the point of scheduling. For example, if your business model includes in-person meetings, you could set a choice at their location or your location in addition to the phone or Zoom options.
  • Need to cancel or reschedule?
    • Feature: Your client or prospect can easily reschedule or cancel using the link in the emails they get from ScheduleOnce. 
  • You and your client receive automated reminders
    • Feature: Most of our business communication is by email so we configured email reminders at our preferred intervals. You have the option of text reminders too.
  • We offer scheduling options for meetings with individual or group team members
    • Feature: ScheduleOnce offers unbelievable configurability for who and when your clients and prospects can schedule time with.
  • Marketing automation - yes please!
    • Feature: ScheduleOnce integrates with a whole big bunch of apps but the one that we use the most is Infusionsoft By Keap. We love that ScheduleOnce can trigger a campaign in Infusionsoft - that opens a ton more options for us.

The bottom line on using ScheduleOnce? We cut way down on wasted time and interruptions and increased productivity. Our clients and prospects get a better customer experience and more independence. Worth every penny!
